- Attendance and work records: clock-in and clock-out times, breaks, shifts, timesheets, overtime, job codes, notes, HR requests, leave requests, approvals, and task activity.
- Location data: GPS location and job-site/geofence information used to verify attendance, job-site activity, and work-hour tracking when enabled by your employer and permitted by your device.
- Device and app data: device type, operating system, app version, Firebase Cloud Messaging token, notification preferences, logs, diagnostics, and security-related metadata.

3. How We Use Information
We use collected information to:
- Provide, operate, secure, and improve the Passmh service.
- Authenticate users and manage permissions, roles, and access.
- Record attendance, verify job-site activity, manage HR workflows, tasks, documents, assets, reports, and company policies.
- Send operational notifications, reminders, approvals, task updates, chat alerts, and service messages.
- Provide customer support, troubleshoot issues, detect errors, and protect against misuse or unauthorized access.
- Comply with applicable legal, contractual, accounting, and security obligations.
4. Sensitive User and Device Data
Passmh may process sensitive data such as precise location, employee attendance records, HR records, uploaded documents, and device notification tokens. We collect and use this data only for workforce management features requested by your employer or enabled by you, and only to the extent needed to provide the service.
5. Location Data
Location data may be used to support clock-in/clock-out validation, geofence checks, job-site tracking, and work-hour verification. Location collection depends on device permissions, employer configuration, and active work features. You can manage location permissions through your device settings, but disabling location may prevent some attendance or job-site features from working correctly.
6. Notifications
We use push notification services, including Firebase Cloud Messaging, to deliver service alerts such as chat messages, task assignments, approvals, warnings, reminders, and announcements. Device notification tokens are used only to deliver these notifications and maintain notification reliability.
7. Sharing Information
We do not sell personal information. We may share information only with:
- Your employer or authorized administrators who manage the workspace using Passmh.
- Service providers who help us host, operate, secure, analyze, notify, or support the service.
- Payment processors when payments or subscriptions are used.
- Authorities or third parties when required by law, legal process, security needs, or to protect rights and safety.
8. Third-Party Services
Passmh may use third-party infrastructure and services such as hosting providers, Firebase, analytics or diagnostic tools, maps/location services, email/SMS/WhatsApp providers, and payment processors. These providers may process limited data on our behalf according to their own terms and privacy practices.
9. Data Retention
We retain information for as long as needed to provide the service, meet employer requirements, support payroll/attendance/HR records, comply with legal obligations, resolve disputes, and enforce agreements. Retention periods may vary by data type, company configuration, and applicable law.
10. Security
We use administrative, technical, and organizational safeguards designed to protect data against unauthorized access, loss, misuse, alteration, and disclosure. No internet or mobile service can guarantee absolute security, but we work to protect data in a commercially reasonable manner.
11. Children
Passmh is a business workforce management service and is not intended for children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information through Passmh, contact us so we can review and take appropriate action.
12. Your Choices and Rights
